Student Employment
É«ÀÇÉçÇø provides several part-time work programs for our students through a variety of channels. These Work-Study programs are designed to help both students and the departments who employ them. Students in need of financial assistance are given the opportunity to earn money towards their educational expenses while gaining skills and knowledge that may aid them after graduation. More than 1,700 students participate in these programs each year.
Note on Hours: Students may work no more than 20 hours per week while classes are in session and are capped at 25 hours a week during Summer and Winter breaks. Summer hours begin at the end of the academic year and end August 31st. Departments must adhere to the 25-hour cap to ensure that students remain below the threshold for state benefits eligibility. This keeps É«ÀÇÉçÇø in compliance with federal and state rules and regulations as well as union rules regarding memberships.

Note on Part-Time Students: Students that attend É«ÀÇÉçÇø on a part-time basis are not permitted to participate in FWS or IWS programs. They can, however, be hired as a student hourly using a surplus in budget and/or grant funding.
Student Employment Information
Types of Student Employment
- Federal Work Study (FWS): Available to students who have been awarded work-study as a part of their Financial Aid package. Students are awarded money based on financial need and can look for employment on campus and use those funds to be paid.
- Institutional Work Study (IWS): Available to all full-time students. IWS funds are allocated to departments as a part of their annual budgets. Students can apply for employment in the departments and be paid as long as the department has funds available.
- Note: Students may work both FWS and IWS positions but are encouraged to use their FWS funds first.
- Student Hourly: Departments can hire students in a part-time temporary status using a budget or grant surplus. Part-time students may be hired as Student Hourly.
- Student Special Projects: One-time payment form used for any student project that is less than two weeks in length and is to be paid $500 or less.
- Note: Departments must submit the Student Special Project form at least one week prior to the project beginning in order to seek pre-approval from Human Resources for all Student Special Projects.
- Graduate Assistantships: Graduate Assistantships (GAs), Graduate Research Assistantships (GRAs), and Graduate Teaching Assistantships (GTAs) are available through the School of Graduate Studies. For more information on these, visit the School of Graduate Studies.
- Resident Assistants/Resident Directors: Positions availble through Residential Learning and University Housing. For more information on these positions, go here.
- Graduate Coordinators: Graduate Coordinator positions are available through several departments on campus including OSLP, Campus Recreation, SCCA, Student Life, and more.
International Student Employees
Social Security Numbers
Prior to working on campus, international students must work with the hiring department and the International Center to obtain a Social Security Number from the Social Security Administration. Once the student has obtained a Social Security number, please send a copy of the card to Edyta Paluch (paluch@rowan.edu) so that Banner can be updated and the student's assignment can be entered and processed.

Completing the I-9
Section 1 of the I-9 must be completed by the student on or before the first day of work. Section 2 of the I-9 must be completed no later than three (3) business days after the first day of work.
International students on an F-1 visa must present their Foreign Passport, Form I-94, and Form I-20 in order to complete Section 2 of the I-9. Please note that the Social Security card is NOT an acceptable document for international students to present to complete Section 2 of the I-9. In order to use a Social Security card for the I-9, it cannot have any sort of restrictions (i.e. Valid for Work Only with DHS Authorization).

Student Work Study Electronic Form
All hourly student assignments (i.e., FWS, IWS, etc.) are now processed via the Student Work Study Electronic Form in Self-Service Banner. This new electronic form is replacing the Student EPAF system previously used to enter student assignments. See below for the different uses for the Student Work Study Electronic Form. Full training resources for the electronic form can be found under the Resources tab. Please note that this new form is only to be used for hourly student assignments. All other student assignments (i.e., GAs, Fellows, RAs/RDs, Student Special Projects, etc.) will still be processed via their respective electronic forms.
Student Work Study Form Uses
- Assignment Entry: Enter an assignment for a student. To be used when a student begins working in a department (regardless of whether or not the student has worked for the University before), changes position numbers (i.e., switching from FWS to IWS), or to renew their assignment for the new fiscal year.
- Rate Update: Process a step increase or other rate change for a student assignment.
- Termination: End a student assignment.
NOTE: If a student has never worked for the University before or has a gap in work history of one year or more, an I-9 may be required. Please reach out to hri9@rowan.edu to confirm whether or not your student has an I-9 on file and to request that one be initiated if necessary.
I-9s & Equifax I-9 HQ
All employees must have a valid I-9 on file in order to begin work. I-9s are completed electronically via the Equifax I-9 HQ system. To verify whether or not your new hire has a valid I-9 on file, please contact HR at hr@rowan.edu or 856-256-4134.

Student Employment Forms
Note: Do not send any copies of student documentation to Human Resources.
- : Complete and submit to Payroll Services at payrollservices@rowan.edu
- 2024 Federal W-4: Once the student’s assignment has been entered into the system, the student will complete their Federal W-4 through Self-Service Banner.
- Log into
- Select the Employee tab, then Employee Dashboard
- Select Taxes
- Select W-4 Employee's Withholding Allowance Certificate
- Select the Update link near the bottom of the page.
- Make any necessary changes and select Certify Changes.
- Direct Deposit Authorization: To set up Direct Deposit, you’ll need your bank’s routing number and your account number. Once you have that information:
- Log into
- Select the Employee tab, then Employee Dashboard
- Select Pay Information
- Select Direct Deposit Information
- Fill out the online form to set up your direct deposit.
